[The Wedding Planner Edit] 6 Ways to Level Up During Booking Season

Booking season tips for wedding planners

Hey wedding planners, the Timeline Genius team is here to give our hot takes and expert-driven opinions on the issues facing today’s wedding pros. This month, we’re getting into the trenches of booking season and helping you level up during this wild time of year.

Booking Season for Wedding Planners

During January and February, most of you wedding planners are falling into one of two camps:

You’re really busy and just trying to plow through booking season, and you can’t imagine doing anything during this time except just getting through it.

OR

You’re twiddling your thumbs, wondering where the bookings are. Sure, leveling up sounds good, but you’re too caught up in the worry of a slow season.

Here at Timeline Genius, we are in both camps. We are here for the planners who are busy and the planners who want to be busy. And we’ve got strategies to help you make the most out of your booking season — no matter what it looks like.

And we’re also introducing you to two new categories:

Other planners? They’ve got their heads down, just trying to get through booking season.

You? You’re taking control of your business, no matter the season, and you’re taking advantage of the unique opportunities arising this winter.

Let’s take a look at 6 unique ways you can gain the edge and showcase your professionalism as you begin the new year.

6 Booking Season Strategies for Top Wedding Planners

1. Get your new systems in place

We’ve all fallen into the trap: “I’ll get this new system in place after booking season.”

But for lots of us wedding pros, there’s no hard end to booking season, and it melts right into the busy wedding months.

Before you know it, you’re piled under a backlog of things to do – things that would be much easier with strong systems in place.

So if you’ve been wanting to use a new CMR or planning tool (like our industry-standard wedding timeline generator), now is the time to do it. This way, you don’t have to transfer all these bookings later on, and you’re starting your new year on the strongest foot yet.

2. Track your time

You have a rough idea of how much time it takes you to plan a wedding, but have you ever actually logged your time? You may be surprised by how a few minutes here and there add up. And what about the other time you spend on your business: organizing your finances, marketing and social media, scheduling consults, and networking?

You need to know how much time you spend on all that so you can incorporate it all into your pricing. AND you need to find out what’s best contracted out (another great way to level up for all of 2026).

So start now with some thorough time tracking and know your true worth as you rock another year of weddings.

3. Check in with your couples

For me, booking season comes with two big influxes. First, we see the rush of new inquiries and bookings that come in after holiday engagements. Then we’ve got the existing couples checking in after taking some time off from wedding planning.

So here’s an easy way to make a strong impression on your existing clients while staying ahead of your to-do list: Send a check-in email in January.

It doesn’t have to be a huge email full of questions. But a quick “happy new year” email (and “happy wedding year!”) will show them that you’re thinking about them and working hard on their wedding plans.

4. Hire help

Yes, it would have been smarter to train someone during the slow season, but it’s not too late to get help during your busy wedding planning months. And a few hours getting a Virtual Assistant up to speed could earn back your time again and again.

Many VAs offer contract services tailored for wedding planners. Word-of-mouth referrals are a great way to get solid help, whether it’s with scheduling, bookkeeping, marketing, or email communication.

If you’ve considered hiring help for your wedding planning business, a temporary VA is a great way to start. Soon you’ll see the benefits of delegating, balancing, and getting support.

5. Change your mindset

I’ve had booking seasons where I could barely come up for air. I always told myself that I just needed to get through January and February, and then I could feel good again. But looking back, I see that it was so unhealthy and led to a lot of burnout.

When I saw the wedding booking season as something to get through, I was creating mindsets like this:

  • Bookings are a burden to suffer through.
  • Whatever is loudest and busiest deserves my utmost attention.
  • January and February are the hardest months of the year for me.
  • My wedding planning business runs me.

Then I made some changes. I set boundaries, extended my response timeframe, and created supportive systems. And I changed my mindset. Any time I found myself stressing over booking season or holding negativity toward it, I changed my inner dialogue.

Soon, I discovered that the burden of booking season eased, and I saw these improvements:

  • I celebrated every new booking.
  • Weddings claimed my attention only during “business hours.”
  • January and February became a time of new beginnings and growth for my business.
  • I ran my business in a way that worked for me and my lifestyle — even during the busy times!

6. Don’t Sweat a Slow Booking Season

Did none of this resonate with you? Maybe you’re alarmingly unbusy during January and February.

Here’s my encouragement to you: don’t panic! “Booking Season” isn’t a hard and fast rule, and it may not be an indicator of your year’s success.

Some couples book far in advance, and some book at the last minute. Some get to work after the holidays, and some begin planning later in the year. And we all know that COVID and the economy have completely altered the way couples approach wedding planning.

So if you don’t have the rush of bookings and emails you expected, take it as a win and use that extra time to get your systems and strategies all up to date.
